Privacy Policy

Last updated: April 19, 2026

This privacy policy describes how Mix Notes ("we", "us") collects, uses, and shares information about you when you use mixnotes.whiteroomaudio.com (the "Service"). Mix Notes is made by White Room Audio, an independent music software company.

What we collect

Information you provide

A free account is required to use the Service. When you sign up, we collect the email address you use for authentication and a hashed version of your password. Authentication is handled in-house on the same servers that run the Service.

When you upload audio files, annotations, or voice notes, they are stored in your browser (using IndexedDB) and synced to your account on our servers so you can access them from multiple devices.

If you create a share link for a specific file, that one file is uploaded to our share storage so your collaborators can listen to it through the share URL. Other files in your library are not uploaded to share storage unless you explicitly share them.

Information we collect automatically

The Service runs on infrastructure operated by White Room Audio (no third-party analytics, ad networks, or trackers). Standard request logs (IP address, user agent, timing) are kept briefly for operational purposes - detecting abuse and debugging errors - and are not used to build advertising profiles.

How we use your information

  • To provide the Service - storing your files and annotations so you can access them
  • To sync your data across devices
  • To make share links work
  • To operate the site and diagnose issues

How we share your information

We do not sell your data. We do not share it with third-party advertising or analytics services. The only entities your data reaches are:

  • Anyone you share a link with - by design, a share link exposes the specific audio file and annotations to whoever has the link

Your audio files and annotations

You own your content. We don't use your audio or annotations to train models or analyse for any purpose beyond operating the Service. Audio files you upload are stored against your account and are only accessible to you, unless you create a share link for a specific file.

Share links

Share links are public-by-URL. Anyone who has a share link can open the player, listen to the file, and if they sign in, can add the file to their own library and annotate it. Share links are unguessable in practice but not password-protected. If you need to stop sharing, delete the source file from your library; the share page will stop resolving.

Deleting your data

You can request deletion by emailing [email protected]. We will delete your account record and all files and annotations associated with it from our servers within 30 days. Data cached in your browser's IndexedDB can be cleared via your browser settings.

Cookies

Mix Notes uses a single first-party cookie strictly necessary for authentication. We do not set tracking, advertising, or analytics cookies. You can disable cookies via your browser settings, but the Service will not be able to keep you signed in as a result.

Children

Mix Notes is not directed to children under 13. We do not knowingly collect information from children under 13.

Changes to this policy

We may update this policy from time to time. We will post the updated version at this URL and change the "Last updated" date. If the changes are material, we will notify signed-in users by email.
